1. Call to Order

  • Present- Rosanne, Lisa, Joanna, Mailah, Stephanie, Gail, Pam. Absent: Joyce, Michelle, Brynn, Mindy, Val

3. Business Arising

  • 3.1 Collection of the field race- we will not be collecting this for now as per Rachel Porter.
  • 3.2 WRS2 was supposed to open in February but due to staffing issues this has been delayed, the new opening date is August 15, 2023
  • 3.3 Rosanne has a new admin, Annallee, she will be sending out a new meeting request for these meetings, please accept the new meeting and decline the meetings sent out by Teresita.

4. New Business

  • 4.1 Salesforce- This is a new cloud based platform for data collection that Price Waterhouse Cooper is developing for our use. We approached Shared Health about our limited memory and PHIA compliancy issues and this is the solution that was put forward. There are 12 people at PWC working on this and they hope to have something to show us by mid September. There is no formal agreement or contract yet but it is likely that this will be the go forward solution. The information we collect will remain the same but the look of the database will be completely new. There will be a change to how we collect co-morbids but this is still being worked through. There is the strong possibility that each collector will complete profiles for both medicine and ICU, work assignments will still be based on the terminal digit system. In preparation for this we will start to re cross train people to both medicine and ICU, start date TBD. When we have more information this will be relayed to all collectors. Orientation to the new platform will be in person sessions.
  • 4.2 WRHA corporate reorganization implications- There has been a reorganization of WRHA corporate positions at SBGH, specifically the cath lab and cardiac surgery scheduling office. As a result there could be potential bumping that might occur, as our program is part of WRHA corporate. We have vacant positions so the most logical process would be to have someone bumping assume one of those positions, but Rosanne is uncertain of the implications of this as we have two funding sources. Rosanne will be contacting HR and someone within medicine to clarify any implications. Rosanne is trying to protect the program and has pointed out that a requirement for our program is 2 years recent ICU experience and also a nurse bumping in to a collector position must be capable of doing the job within two days of starting the new position. As Rosanne learns more she will relay this information ASAP to collectors.

5. Round Table Items

  • Gail- asked re. refractory shock and how to code when they start steroids. This is considered a continuum of the shock and unless specifically mentioned adrenal insufficiency should not be coded.
  • Pam- no comment, she is digesting all this new information
  • Mailah- spoke about her experience with the closing of the OAKS ICU
  • Joanna- asked about the co-morbids for the new platform. This is still be worked out, instructions on how to capture this will be given with the orientation of the new platform (if this happens)
  • Stephanie- asked if we will be posting the vacant positions? we are still in a holding pattern until the Fall.
