The sign up sheet for "extra shifts" is located on the Regional Server:
- \\sbghnwfs0102\NSSVOL1\shared\ICU_DATA_COLLECTION\Extra Shift Sign Up
Where
Sign up is on the Regional Server under Extra Shifts.
- Don't depend on lists posted in offices, they are not the most up-to-date.
Rules and Regulations for shift pick ups
- You must fulfill the minimum number of shifts per week for your EFT on the ward your have been assigned to FIRST before you pick up any additional shifts on another ward or site. See: EFT and shifts per 4 week rotation for more information about EFT and shifts per week.
- management may assign staff to other units at a site when necessary.
- Staff cannot sign up to cover their own posted vacant shifts BEFORE they go on vacation.
- Staff do not have the option to decide that they don’t want anyone to pick up their vacation shifts while they are away vacationing. Management decides if shifts to be posted or not.
- Other team members at your site and in the Region have the option to pick up the posted relief shifts.
- If no one signed up to cover shifts posted during your vacation or sick LOA, then when you return and management still has these shifts posted as available, you could then sign up for these extra shifts.
- staff cannot sign up for extra shifts then proceed to not show up on the day they signed up for. You must notify the main office in advance for approval of any changes.
- If reason for being absent is due to illness then you must notify main office at least 1 hour or more prior to start of day shift.
- all extra shifts must be approved before you proceed to work them.
- management reserves the right to determine how many and how long any extra shifts are available for.
- Know Your rotation & your minimum number shifts
- if you need help to plan your 4 week rotation around stats and vacation weeks, and where to slot in EXTRA shifts, go to the Vacation planner on the Regional Server. There are additional tabs in this Excel workbook that lay out how to fit your shifts for each week of every 4 week rotation.
- Example:
- Pay period Friday Dec 31 to Thursday Jan 6 (Monday Jan 3 stat day)
- If EFT is 60% then your minimum number of shifts per week are: 3 x 7.75 hrs
- You must first complete your required 3 x 7.75 hrs shifts on the ward you are assignment to on either of the following days:
- Friday Dec 31, Tues Jan 4. Wed Jan 5, or Thur Jan 6.
- for the following pay period Fri Jan 7 to Mon Jan 13 (5 days) , you have 3 shifts you must complete first for the ward you are assigned to, and 2 days to pick up shifts elsewhere if there are shifts available.
- if you need help to plan your 4 week rotation around stats and vacation weeks, and where to slot in EXTRA shifts, go to the Vacation planner on the Regional Server. There are additional tabs in this Excel workbook that lay out how to fit your shifts for each week of every 4 week rotation.
- The work week is Monday to Friday
- Do not schedule yourself or come in to work on STAT day.
- Unless special requests have been made at the time of vacation sign up, Collectors will return from vacation on or after the Monday following their vacation. Collectors will be required to fulfill their EFT on the week they return. This is regardless of whether someone worked for them the Friday before they returned. Collectors must be aware of where they are in their 4 week work rotation, the number of vacation days paid and how many regular shifts they have to complete. The Vacation planner on the Regional Server has a daily rotation planner you can use to plan your regular weekly shifts around vacation and stats.
- Once you have determined what is available and what will fit into your regular worked shifts, sign up. Once you have signed up you cannot change the day without emailing Trish of your intent to change a signed up shift. She needs to be aware of all changes.
- If an available shift is posted for a certain day within the Monday to Friday workweek and you would like to do that shift on another day that week for example Thursday instead of Friday you can change the day as long as you fulfill your own EFT each week. See EFT and shifts per 4 week rotation
