The CCMDB.mdb stands for Critical Care Medicine Database. This is an Access database that the PDAs synchronize into. It screens the data for internal consistency and ranges, and then exports it in a format that can be imported into TMSX or MedTMS.

Each PDA has a combo of two Access databases associated to it:

ccmdb.mdb file which is identical for all until synced into
settings.mdb which contains location specific information such as the path to the Regional Server, and the hospital and ward names.
  • Any data in the ccmdb.mdb is considered transient, the file can be replaced with an empty new version at any time
  • Rolling out new versions of ccmdb.mdb is done by Tina or Trish using a batch file called updt_all.bat. A ccmdb.mdb file that is currently open WILL NOT be overwritten.
  • Additionally, this program folder contains a \Master directory where the master version of the ccmdb.mdb is stored. Any changes required to the program can be made on the master file, and then rolled out by copying the master\updt_all.bat batch file to a local drive (batch code can’t cope with running from an unnamed drive) and running it.

DISCUSSION

  • Access “(CCMDB)”. This article is pretty sparse at the moment. I would like each data collectors to collaborate in the development of this article. There are a number of questions in there to get things started, sort of a template. Basically what is needed is the “steps” followed to go through ACCESS (CCMDB.mdb) before data files are SEND to the regional server? Some of you may have some “good tips” that others can learn from so please add them to this articles. Any little detail from each collector will help this article grow into a useful guide. Don’t worry about how you put the information in this article or spelling etc. It can be reorganized as we go.

starting Access

  • Before I enter access I take time to check by ready to send files on my PDA check that all required feilds have been addressed, I make list of missed items like pathogens needed, enter items as needed; then copy Hadibase L_files directly from my PDA Handibase L_files for my site folder onto the Regional server ensuring you are logged on the twister prior to;, click on new program icon on PC; choose appropriate ward; enter database password; click "find orphans"; click "pre-send Tmp2 checker" if needed; click edit patient's; click "filter" icon top right of screen. Then you are ready to perform final checks prior to sending go through files and follow prompts as needed (highlighted in yellow if any missed items arise); when your have reached the end and have ensured you have correct number of files ready; click "door" on right top corner and you will be back to the page you entered; click send files,and follow the prompts.   • My routine is I check all completed files for correct spelling of name, correct entry of phin & hospital #'s. Then check diagnosis(make sure all infection codes have a pathogen listed), tasks, comorbs, apache,lab,green,moves and adl's are completed. Next I complete my sprite backup. While this is being done I open the regional server and then sync PDA to Access.

Then I copy handibase3 files to L Handibase folder. Then disconnect and close all the files, open regional server, sync once more. Now I am ready to open New Program, select my site ward file and prepare to send. Before starting I check for orphans and check my Tmp/Check to ensure there are no errors. Then click edit files, "filter" icon to access the completed files. Now I proceed to check each file once more as outlined above, checking the three complete boxes in top right hand at the end of each file. When I have completed checking all the completes, I scroll back to the beginning to double check that the three complete boxes have been completed. Then I send files, double check with my copy of last batch to ensure I enter correct batch number,and send. Once this is completed, check sent record, autofit column, address the files marked false, make a copy of the sent report and close out. I use my copy to do a final check on my paper log sheet of files sent.--FLindell 15:33, 16 March 2009 (CDT)

    • Prior to starting Access I pre check on my PDA my completed profiles one at a time, I check eg: spelling, phin numbers,date of birth, comorbs, admits, lab values.I then sync, copy and paste, re sync, open access, check for errors, go to edit files, go to filter to access my completed files and make sure the number of completes is correct. --PStein 08:19, 18 March 2009 (CDT)

filtering to complete only

When preparing to send data in the CCMDB, click on the filter button in the right upper corner. This filters your data to show only completed profiles, making it easier to check your data prior to sending. BDeVlaming 09:37, 17 March 2009 (CDT)

Yellow fields and error messages

  • Yellow fields indicate missing data, duplicate lab/pharm entries, or incorrect data. Any profile with yellow highlights must be corrected before it can be sent.
  • Correct missing data by clicking in the yellow field and adding the data. Then click the yellow category tab to remove the yellow highlights.
  • If a priority has been used twice (ie in pharmacy), use the tabs the the right of the numbers to correct it. Check the yellow pharmacy tab to reset the data and remove the yellow highlights.
  • If a lab has been duplicated, right click on the grey tab to the left of the lab/pharm you wish to delete. Click on "cut" and you will see a box asking if you are sure you want to delete this record. Click "yes" to delete the item. BDeVlaming 09:48, 17 March 2009 (CDT)

Checking your Data in Access

I double check that I have entered the registry data correctly ie: name, phin, chart #, birthday,admit,transfer and d/c time from the addressographed sheet that I make on every pt. --MWaschuk 13:54, 18 March 2009 (CDT)

the process of sending your data from access

  • Open Access, and check "Edit Patients"
  • Click on the filter buttone to review only profiles marked complete.
  • Check each profile for accuracy and correct any errors.
  • After each profile is checked, click the Tiss and Final check boxes in the upper right hand corner of each profile.
  • Check the Lab/Pharm valid blank if there are no labs and/or no pharmacy for that profile.
  • Once all checking is complete, click on the open door under "Final check" in the right upper corner.
  • Click "Send Records"
  • Enter the batch number and click "ok"
  • Enter your initials and click "ok"
  • Next an excel spreadsheet appears. On the form indicate reasons why a profile may not have been sent. To exit this page, click the "x" in the upper right hand corner. You will get a prompt asking if you want to save the changes made. Click "yes" and then "save". Next you will get a prompt saying that the file already exists and do you want to repace it. Click "yes". Then you will get another prompt saying this may contain features that are not compatible with CSV...choose "yes".
  • Next a "Sent report" will appear. Print this form for your records and write the batch number on it.
  • Click exit program to leave.

Deleting data on PDA after sending from access

    • Before sending, I check my PDA to see if I have entered all my data.Ensuring info is complete on completed profiles.

Ensure computer is onto regional server. Sync my PDA. In microsoft active sync, check for errors, press ok once scrolled through and no errors. In microsoft active sync, click explore. Double click HandDBase 3. Highlight L logs. Edit-copy, make small. Log into regional server, LHandiBase Click S5. Edit, paste, yes to all. once it hightlights blue, I make it small. Turn off PDA, resync. Check files for errors in microsoft active sync. Click onto new folder. Open with cookies. V_temp studies, checker. If no errors, click edit profiles. Filter on top right corner. Click through completed profiles. Fill in missing data highlighted by yellow. Once all profiles checked complete, close the door. Hit send. Add batch no. Add initials. Check true/false-scroll over lines to ready dates. Click out, click yes to save, approx 5 save's. go to regional server Output folder. Check Vic folder go to recent batch #.CSV check files, scroll to ensure all files present. say no to save if you change anything.   • After closing access I click on output, then your unit open up the info and check. eg the number of completes, admits, comorbs, etc. I then delete my completes on my PDA--PStein 08:36, 18 March 2009 (CDT)

  • After sending you check your output by opening twister and clicking on output, then find your site and click on the batch number csv you just sent. Your sent files should appear, scroll across and make sure the areas that have to have information in them ie. admit date and time etc. are filled in.       • Thank you for your contribution. All sites being able to use a lap-top is some time away. At this time we will only use laptops at one site for beta testing. Never-the-less, the lap top will employ the use of MS ACCESS for collection and entry, therefore the above steps are will still apply. --TOstryzniuk 13:26, 16 March 2009 (CDT)
