Vacation planning

Vacation planning will start February 15, 2012 for vacation the period April 1.2012 to last full pay period in March 2013

  • Everyone will be mailed the following before Feb 1st of each year:
  1. vacation entitlement list for your site
  2. 'vacation request form' (this must be emailed or faxed back to me before the date of your appointment).
  • Please POST a copy of the vacation entitlement list in your office.
  • There is a summary vacation planner for 2012-13 on the Regional Server. Starting after Feb 15.12 you can check there for updates to help you in regards to planning your well deserved vacation.

  • Vacation is awarded based on seniority at each site.
  • Reminder: the ICU and Medicine database program are not separate programs. Operationally, there will be one person allowed to be off for vacation at any given time at a Hospital site.
  • I will be sending out email request for vacation planning appointments in February. Appointments to discuss vacation plans will be done via phone on scheduled appointment date.
  • Feel free to discuss amongst your team members at your site. At a site, if there are overlapping requests for vacation weeks that cannot be resolved, then seniority will be the deciding factor. I will do my best to try and meet most well deserved vacation request times.
  • Thanks you everyone for your continued good work for the Regional Database Program.

Extra shift sign up sheet

  • Now that our Wiki is password protected, there has been a request to Post on Wiki Vacation planner and Extra shift sign up sheet. Will attempt to come up with something and we will give it a go.TOstryzniuk 19:55, 23 January 2012 (CST)
    • have explored some options to post on Wiki. The main purpose to have shift sign up on Wiki is to make it more convenient for regular staff to sign up for hours from home computer. Purpose was also was make it easier for 4 casual staff to sign up on shift from home. At this time it is apparent that the maintenance of a shift sheet on Wiki is too labor intensive for main office staff. Staff who want extra shifts can look at Regional Server when they are at work. Casual staff who and interested and available for shift can email Trish or Pagasa. Half of the causal staff are in regularly and they do look at Regional Server to sign up for shifts. It may be at a later date that we can come up with and alternate idea for shift sign up on Wiki. Trish Ostryzniuk 18:03, 2012 February 8 (CST)

Pulled from work rotation article and will have to rewrite this article to incorporate

  • vacation hours earned (for EFT and Excess) are divided as equally as possible during the total number of weeks of vacation a person is entitled to.
  • The Vacation Summary on the Regional Server will show the exact number of vacation days to be paid for each of the vacation weeks selected and approved. This information will help staff "plan ahead" in regards to the number of shift they must work before or after vacation week(s)to fulfill the required number of shifts for their EFT per week for each 4 week rotation. Right now you must check with Pagasa or Trish if not sure how to plan you regular shifts around vacation weeks and or stat days.
  • During your vacation week or when there are stat days, in order to adjust your required shifts ahead of time, you need to know the following:
  1. What four week work rotation period you are in (see table above)
  2. how many vacation days will be paid during your selected vacation week
  3. number of STAT days in the 4 week work rotation period.
  4. EFT and shifts per 4 week rotation.
  • you must adjust your work pattern around your paid vacation week and STATS to ensure you fulfill required number of shifts for your EFT each week of your 4 week rotation.
  • for shift that re not picked up during your vacation, you may choose to pick up those shifts immediately & during consecutive weeks when you return from vacation. If shifts are not picked up during the immediate week you are back, these shift will no longer be available as extra shifts.
  • The number of extra shifts made available is at the discretion of management. There will not always be 100% coverage.

  • Vacations earned is divided up amongst weeks vacation entitled to and days are paid the same way that the number of minimum shifts required per week in each 4 week rotation for your EFT. Staff with flex hours though, must adjust the number of regular shifts they worked in a week before or after vacation based on number of vacation days paid in that week they are away.
  • Those that have "odd number" EFT's such as 55, 65, 85 etc., work a combination of 2, 3, 4 or 5 day weeks in a 4 week rotation. A Vacation week is paid the same way however, your regular working shifts must be adjusted ahead of time, therefore you must know if you are being paid: 2, 3, 4 or 5 vacation days during you selected week off.
  • When stats fall on a week you take vacation then number of regular days worked vs number of vacation days paid need to be adjusted.
    • Example, if you work 13 shifts in 4 week rotation and you are being paid a 4 days of vacation in the week off and there are 2 stats, like this weekend, then one vacation paid day must be included in the next weeks pay period.
