Just a reminder….. Vacation relief shifts are posted and available during “specified” dates. This was posted on Wiki in March in regards to signing up for your own shifts before going way on vacation. For example: Zoey is on vacation June 4-15. Vacation relief shifts are posted and available during the “specific” dates of June 4-15. Other part time or causal staff have the option to pick up the shifts during these "specified" dates while Zoey is away enjoying some R&R. If vacation relief shifts are not picked up during specified dates posted, management may make them available during an alternate specific period if operationally required. Zoey would then have the option to sign up then when he is back from vacation. Management won't approve Zoey's pre-sign up to do his own vacation relief shift on June 21st & Jun 28th because these relief shifts are currently posted as available between the dates: Jun 1-15. !Trish Ostryzniuk 19:22, 2012 May 14 (CDT)

Rules and Regulations for shift pick ups

The purpose of the adjustment is to allow better management of extra shifts, fairness and balance between both staff & program needs in regard to this process.

  • You must fulfill the minimum number of shifts per week for your EFT on the ward your have been assigned to FIRST before you pick up any additional shifts on another ward or site. See: EFT and shifts per 4 week rotation for more information about EFT and shifts per week.
  • management may assign staff to other units at a site when necessary.
  • Staff cannot sign up to cover their own posted vacant shifts BEFORE they go on vacation.
  • Staff do not have the option to decide that they don’t want anyone to pick up their vacation shifts while they are away vacationing. Management decides if shifts to be posted or not.
    • Other team members at your site and in the Region have the option to pick up the posted relief shifts.
  • If no one signed up to cover shifts posted during your vacation or sick LOA, then when you return and management still has these shifts posted as available, you could then sign up for these extra shifts.
  • staff cannot sign up for extra shifts then proceed to not show up on the day they signed up for. You must notify the main office in advance for approval of any changes.
  • If reason for being absent is due to illness then you must notify main office at least 1 hour or more prior to start of day shift.
  • all extra shifts must be approved before you proceed to work them (sick, vacation).
  • management reserves the right to determine how many and how long any extra shifts are available for.
  • Extra shifts available for this program at all sites in the Region can be found on the Regional Server in a folder labeled Extra Shift SignUp.
  • The number of extra shifts made available is at the discretion of management. There will not always be 100% coverage.
  • Vacation shifts not covered during vacation may be offered, at the discretion of program management, to staff returning from vacation. These shifts must be picked up immediately & during consecutive weeks when they return from vacation. If the shift pick ups do not begin during the immediate week you are back, these shifts will no longer be available as extra shifts. Management then may designate someone who is available to do the catch up in medical records for outstanding charts if needed.
  • Know Your rotation & your minimum number shifts
    • if you need help to plan your 4 week rotation around stats and vacation weeks, and where to slot in EXTRA shifts, go to the Vacation planner on the Regional Server. There are additional tabs in this Excel workbook that lay out how to fit your shifts for each week of every 4 week rotation.
      • Example:
      • Pay period Friday Dec 31 to Thursday Jan 6 (Monday Jan 3 stat day)
        • If EFT is 60% then your minimum number of shifts per week are: 3 x 7.75 hrs
        • You must first complete your required 3 x 7.75 hrs shifts on the ward you are assignment to on either of the following days:
        • Friday Dec 31, Tues Jan 4. Wed Jan 5, or Thur Jan 6.
        • for the following pay period Fri Jan 7 to Mon Jan 13 (5 days) , you have 3 shifts you must complete first for the ward you are assigned to, and 2 days to pick up shifts elsewhere if there are shifts available.

  • The work week is Monday to Friday
    • Do not schedule yourself or come in to work on STAT day.
  • Unless special requests have been made at the time of vacation sign up, Collectors will return from vacation on or after the Monday following their vacation. Collectors will be required to fulfill their EFT on the week they return. This is regardless of whether someone worked for them the Friday before they returned. Collectors must be aware of where they are in their 4 week work rotation, the number of vacation days paid and how many regular shifts they have to complete. The Vacation planner on the Regional Server has a daily rotation planner you can use to plan your regular weekly shifts around vacation and stats.
  • Once you have determined what is available and what will fit into your regular worked shifts, sign up. Once you have signed up you cannot change the day without emailing Trish of your intent to change a signed up shift. She needs to be aware of all changes.
  • If an available shift is posted for a certain day within the Monday to Friday workweek and you would like to do that shift on another day that week for example Thursday instead of Friday you can change the day as long as you fulfill your own EFT each week. See EFT and shifts per 4 week rotation
  • If I find that no one has been able to work shifts for me while I'm on vacation and want to pick up for myself to catch up when I get back and IF I have already signed up to pick up shifts for someone else that is now on vacation, how will I be able to fulfill my commitment for the other Data collectors AND be able to catch up for myself, if we are to catch up our own unfilled shifts immediately after we get back from vacation? If I, as a .6 am committed to work an extra shift for another collector and work 1 shift to catch up for myself, that would become 6 weeks of full time hours to fill my commitments to everyone involved. How do I balance this?
