3.1 Database Status-
- update that all current vacant positions, including the manager position are on hold.
- Allan had a meeting with Perry Gray and Ehealth is currently looking at the database and deciding if they will take over as being the repository for the database.
- The re-deployed HSC nurses have been redeployed since November 2020 and Rosanne is hoping they will be the first to be sent back.
3.2 PHIA requirements (Sending_Patients#Deleting_Sent_Patients)
- Some collectors are keeping their "sent" profiles on their laptops, greater than 24 hours after "sending". This is against PHIA policy to do so, once the profiles are sent they must be deleted from the laptop after 24 hours.
- Mailah asked if it would be ok to copy and put them in a microsoft word document and save them, this is also not acceptable practice.
- Sherry asked about when Pagasa is on vacation, there are ways of saving the back ups for longer periods, so profiles can still be deleted. The importance of doing "News and backup" was emphasized.
3.3 Triggering query
- This is a new button for when an error message pops up and the collector is unable to decipher where the error is. By clicking on the button it will help to pinpoint were the error is.
3.4 Vacation Planning
- Pam reviewed her proposal has outlined below. For the current vacation planning year, we will continue to allocate vacation as per previous years, One collector can be away from each site at any given time.
- Rosanne pointed out that in the current state, we have vacant positions and redeployed staff it would not be prudent to have two collectors away at each site. This can be revisited once we have a full complement of staff. The collective agreement will be followed for vacation planning.
- Sherry and Mindy pointed out that in the Proposal, Grace would be the exception, and that didn't seem equitable. Mindy also noted that vacation planning has always gone by seniority and that is the most equitable way of doing it.
3.5 Publications
- a link was provided to the wiki to show the research projects that have come directly from use of our database.

- Sherry asked if there could be an easier way to go through the CCMDB updates (change log) when a collector returns from vacation.
- ACTION PLAN- Lisa asked Tina, who added this to the links on the wiki navigation bar on the left
- Lisa noted that she will be training Mindy at other sites SBGH and HSC. Any other collectors who wish to be trained at other sites please let Lisa know
- Working from home is working well for those at SBGH, collectors at HSC and Grace appreciate the flexibility of the option to work from home on bad weather days. The directive remains that if your job can be done from home please do so.

Collection Staff Vacation Pool Proposal
The Problem
Staff ratio differences among collection sites result in inequity to collector access to needed and/or preferred vacation times.
The Solution
• Grace site has three collectors (one ICU, two medicine) vacation pool remains the same at three collectors at full staff complement-one collector away for vacation at a time
• STB site split into separate ICU and medicine program vacation pools, each pool then has three collectors at full staff complement that would be equal to Grace. One collector per program away for vacation at a time
• HSC site split into separate ICU and medicine program vacation pools, one pool with three; the other four at full staff complement. One collector per program away for vacation at a time
The proposed solution would address the inherent inequity and disparity among the sites and enhance collector access to needed and/or preferred vacation times with nil adverse impact to the employer. Hard working collection staff are entitled to well-deserved vacation time, and there is ample discretion for the employer to demonstrate increased flexibility and support.
At STB site medicine and ICU program collectors do not cross cover vacation therefore nil adverse impact to the employer with the proposed change.
At Grace site there is nil adverse impact to the employer as the status quo is maintained.
At HSC site there is nil adverse impact to the employer as not all collectors cross cover programs, and cross coverage is done on a voluntary basis via sign up for vacation shifts.
Casuals are available to support program staffing needs.
Employer supported innovative strategies are already implemented at all sites to address current short staffing challenges. Employer supported innovative strategies could also be used to support vacation coverage.
