| *A second place to look up a the most current email address in the Global Address Book for your email however, this doesn’t tell you which ward a data collector is assigned to therefore the best place to look is the WIKI.TOstryzniuk 17:15, 30 January 2009 (CST)
| | The most current Contact information will only be updated on our Wiki and in email distribution lists in the Outlook Email Global Address Book. See Outlook Mailing Lists for more info. |
|
| |
|
| *On the left side of this screen you will see "SEARCH". In here you can type in the data collectors name and find them on the WIKI. Even if you just type in the first name, you will be able to find what you are looking for. You can search for hospitals and wards as well, but keep in mind that the shortest term you can search for is 3 letters.

| *You can also LINK to an email address and send emails directly from the WIKI to any of the database program staff member who has “enabled” their profile “preference” to sent & receive email from WIKI. An email from the WIKI gets sent to their work email inbox and a copy to your inbox if you select that preference. This is a good idea to do, then you will have a copy of the email you sent from the WIKI.

| |
| *Now that we are all set up with email addresses through the wiki I will have to disappoint you: you can’t use it to send any emails that contain any patient identifers such as name, chart, PHIN.
| |
| *The wiki is outside the WRHA network. Because it facilitates the email, it gets to see what goes into the email. So, it must not be used for patient data. I realize this would have been very handy, so I am sorry that we can’t do it that way. Having said that, we might need to look into a better way for you to share some of this data. Thanks,

| === Finding the collector for a specific location ===
| |
| *Is there any way we can group data collectors per hospitals rather than names? It would save time rather than going through the whole list of names to find out who does which wards and hospital? (shirley kiesmans original comment).
| |
| ** The collectors are already grouped under names in the Offices Category. Or, if you just want to find the collector for a specific location, e.g. for HSC A4, do a search on that. Note: You have to spell out the Hospital name because that is how we spelled it in the collectors entries. Try "Victoria S3" in the Search box. Ttenbergen 17:11, 21 August 2009 (CDT)
| |
| **The grouping needs to be under Microsoft Outlook for reasons of PHIA. In the meantime we can look up individuals by name under the Global Address Book.--CMarks 16:24, 21 August 2009 (CDT)
| |
| *** There is no PHIA protection for your contact info. There are privacy regulations, e.g. FIPPA, but PHIA only applies to Personal Health Information (Act).Ttenbergen 17:11, 21 August 2009 (CDT)
| |
| ***what Joanne and Con have suggested is that in the global address book for Outlook Exchange besides having a DC and DC MED email group, to also have grouping by Hospital/program. TOstryzniuk 16:35, 21 August 2009 (CDT)
| |
| **** That would still not tell you which collector covers which ward. Ttenbergen 17:11, 21 August 2009 (CDT)
| |
| *I think the above resolves the questions. If not, please explain how. Ttenbergen 17:11, 21 August 2009 (CDT)

| *****Collectors are never sure who is covering who at each site or when. People can be off sick or vacation coverage plans change. This is the reason they prefer to send one email to say all the STB medicine collectors in hope that they connect with the correct person that may be covering that ward. Because some sites help each other out another collector may actually follow up the question being asked.TOstryzniuk 21:07, 21 August 2009 (CDT)
