This page explains how we will collect data on patients located in COVID units or other temporary units starting 2020-Oct-15.
Instructions
How do we decide which patients to include
Include all patients admitted under the services you generally collect.

Which laptops will they be collected on?
- At sites that use PatientFollow Project, patients will be assigned to laptops based on that.
- At STB, until they join PatientFollow Project, patients in COVID locations will collected by Pam/S5 Laptop identifier; if there are special cases/exceptions, please note them here
How will they be entered on the laptops
- Create an entry for the patient following the Change from Service Location to Service, Boarding Loc and Transfer Ready DtTm tmp entry
- Enter a Boarding Loc entry of <your site> - COVID unit (e.g. "HSC - COVID unit") for any admission to and time spent in a COVID unit
- enter the actual location into the comment field, e.g. JKL3
- If the patient moves to another unit from a COVID unit:
- at PatientFollow Project sites, or if the move is to a Service/Location also collected on this laptop, enter a Boarding Loc entry for this move
- at non-PatientFollow Project sites, and if the Service/Location is not collected on this laptop, discharge the patient from this laptop as they will be collected by the corresponding other collector
- If the patient moves to the COVID unit from another unit:
- at PatientFollow Project sites, or if the move is from a Service/Location also collected on this laptop, enter a Boarding Loc entry for this move
- at non-PatientFollow Project sites, and if the previous location is not collected on this laptop, discharge the patient from the first laptop and enter them on the laptop responsible for the new Service/Location
- If the unit a patient is on changes to be a COVID unit, or changes to no longer be a COVID unit, and the patient stays put.
What to enter for Pre-admit Inpatient Institution Previous Location / Dispo for patients from/to Covid units
- Just enter the generic <site>_<program> (e.g. HSC_Med)
Background
Physical locations of COVID isolation, cohorting and expansion keep changing. Every change we make to Service/Location causes extra disruption to collection, documentation, training, vacation coverage hand-over and data processing steps so we needed a flexible method that doesn't require decisions and changes every time locations are opened, closed or moved.
We will start to treat COVID and other contingency locations like any other Boarding Loc.
